Cathund Digital International Centre for Distance Learning & Continuing Education Ltd/Gte. (“Cathund Digital”, “we”, “our” or “us”) provides Cathund CAPMS, an academic project supervision and management platform used by authorised educational institutions, administrators, supervisors, examiners, staff and students.

This Privacy Policy explains the information we may collect, why we use it, how it may be shared and the choices available to users. Institutions using CAPMS may also provide their own privacy notices and instructions concerning information under their control.

1. Information we may collect

Depending on the institution’s configuration and the user’s role, CAPMS may process:

  • Identity and account information: name, student or staff identification number, institution, faculty, department, programme, role, email address, telephone number and account status.
  • Authentication information: username, password in protected form, password-reset information, login history and session information.
  • Academic information: project topics, proposals, chapters, research documents, supervision notes, corrections, annotations, feedback, assessments, grades, deadlines and progress records.
  • Communications: messages, notifications, voice feedback and support enquiries sent through the platform.
  • Files and media: documents, PDFs, images, audio recordings and other academic materials uploaded or recorded by authorised users.
  • Technical and security information: IP address, device and browser type, operating system, timestamps, error records, activity logs and information used to prevent fraud or unauthorised access.
  • Camera or microphone information: only when a relevant feature is enabled and the user grants device permission. CAPMS does not access the camera or microphone without permission.

2. How we use information

We may use information to:

  • Create, authenticate and manage user accounts.
  • Provide academic project supervision and management functions.
  • Enable document submission, review, feedback, grading and resubmission.
  • Connect students with authorised supervisors, examiners and administrators.
  • Send service, deadline, security and account notifications.
  • Provide plagiarism, similarity or academic-quality analysis where enabled.
  • Maintain platform security, investigate misuse and prevent unauthorised access.
  • Diagnose technical problems and improve reliability and performance.
  • Comply with applicable legal, regulatory and institutional requirements.

3. Institutional control of information

CAPMS is primarily provided to educational institutions. An institution may determine which users are registered, the information required, user roles, project structure, retention periods and permitted academic activities. Users should contact their institution first about the correction, access or deletion of institution-controlled academic records.

4. Sharing and service providers

We do not sell or rent personal information. Information may be shared only when reasonably necessary with:

  • The user’s authorised institution and its approved administrators or staff.
  • Supervisors, examiners or other authorised users involved in the academic process.
  • Technology providers supporting hosting, secure email delivery, storage, system maintenance and platform security.
  • Academic-integrity providers, including Copyleaks, when an institution enables plagiarism, similarity or AI-content analysis. Submitted content may be transmitted to the selected provider for analysis under its terms and privacy practices.
  • Government, regulatory or law-enforcement authorities where disclosure is required by applicable law or a valid legal process.

Service providers are permitted to process information only for the relevant service and subject to appropriate contractual or legal obligations.

5. Data security

We use reasonable administrative, organisational and technical safeguards designed to protect information against accidental loss, misuse, unauthorised access, alteration or disclosure. No internet-based system can guarantee absolute security, and users must protect their login details and immediately report suspected unauthorised access.

6. Data retention

Information is retained for as long as reasonably required to provide CAPMS, meet an institution’s academic and record-keeping requirements, resolve disputes, maintain security and comply with legal obligations. Retention periods may differ according to the institution, type of record and applicable law.

7. Access, correction and deletion

Subject to applicable law and institutional academic-record obligations, users may request access to, correction of or deletion of their personal information. Account deletion may remove or deactivate the user’s account, but certain academic, assessment, security or legal records may need to be retained.

8. International processing

CAPMS may serve institutions and users in different countries. Information may therefore be processed in countries other than the user’s country. Where required, reasonable safeguards will be applied in accordance with applicable data-protection requirements.

9. Children and younger users

CAPMS is intended for authorised use through educational institutions and is not designed for unsupervised use by children. Where an institution permits a person below the applicable age of consent to use CAPMS, the institution is responsible for obtaining any consent or authorisation required by law and for providing appropriate supervision.

10. Third-party links and services

CAPMS may contain links to, or integrations with, third-party services. Those services operate under their own privacy policies and terms. We encourage users to review those policies before providing information to a third party.

11. Changes to this Privacy Policy

We may update this Privacy Policy when CAPMS features, legal requirements or data practices change. The revised version will be posted on this page with an updated effective date. Material changes may also be communicated through the platform or by other appropriate means.
